Medical notes are ‘Special Category Data’ and therefore require a very secure means of handling.
For security you will receive your notes via encrypted email called ‘Egress’. From this you can download, share or print your notes.
For security, cost and environmental reasons we no longer print off hard copies of your notes to collect or post. Most patient notes are hundreds, sometimes thousands of pages and we receive hundreds of SARs every year. If you would prefer your notes printed then there will be a cost to this to cover the extra administrative cost and resources required to do this.
You are allowed one SAR per year. More than one SAR per year is deemed excessive and will incur a cost proportionate to the administrative time involved.
Once you have received your encrypted email, follow the steps to access your notes:
- Click on the ‘Open Secure File’ button in the email
- Click on the ‘Open Online’ button
- Enter your email address
- Create a password
- You can now use your email and password to access your notes in PFD format
- The single PDF file called ‘GP notes’ contains all of the GP practice documentation
- The other PDF files are all correspondence between the practice and hospital or community clinics
